Case Study: specialist model relocation for swansea museum & bp

Overview

Prime Lane was commissioned by Swansea Museum, in partnership with BP, to undertake the careful relocation of a significant 3‑metre model from the museum's storage facility. The project required precision handling, specialist packing, and coordinated logistics to ensure the model's safe journey to Dartford, Kent, where BP would oversee the final stage of its return.

Project Challenge

The model presented several unique challenges:

• Size: 3 metres in length
• Weight: Approximately 700kg
• Location: Secured inside a 3.5‑metre glass display cabinet within the museum's storage facility
• Fragility: Required zero movement during transit
• Destination: Dartford, Kent, for onward transport arranged by BP

The combination of weight, restricted access, and the need for absolute stability meant the move demanded meticulous planning and specialist equipment.

Our Approach

1. Detailed Pre‑Move Assessment

Before any physical work began, Prime Lane conducted a full site assessment at Swansea Museum's storage facility.
This included:

- Measuring access routes, door widths, and turning spaces
- Assessing the structural integrity of the 3.5‑metre glass cabinet
- Identifying lifting points on the 700kg model
- Planning the safest extraction method with minimal risk to the model or its surroundings

This preparation ensured that every stage of the move was controlled, predictable, and safe.

2. Controlled Extraction from the Glass Cabinet

The model's position inside a large glass display cabinet required a highly coordinated removal process.
Our team:

- Removed or secured vulnerable glass panels to prevent stress or vibration
- Used low‑profile lifting equipment to raise the model evenly
- Applied slow, incremental movements to avoid torsion or flexing
- Maintained constant communication between handlers to ensure synchronised lifting

This phase demanded patience and precision, as the model's weight and fragility left no margin for error.

3. Internal Transport Through the Facility

Once placed on skates the model needed to be moved through the storage facility to the loading bay.
Prime Lane used:

- Heavy‑duty skates and dollies rated for the model's weight
- Gradual, stabilised movement to prevent any shift in the model's centre of gravity

This ensured a smooth, safe internal transfer without disruption to the museum environment.

Our Approach

4. Custom Crate Fabrication & Precision Packing

To prepare the model for long‑distance transport, Prime Lane designed and built a bespoke 12mm ISPM‑15 compliant crate.
The packing process included:

- Tailoring the crate's internal dimensions to the model's exact footprint
- Installing high‑density foam padding to immobilise the model
- Adding vibration‑dampening materials to protect delicate components
- Securing the model to prevent any lateral or vertical movement during transit

The result was a robust, export‑ready crate engineered specifically for the model's weight and fragility.

5. Hiab Coordination & Safe Loading

With the crate sealed, Prime Lane coordinated a Hiab vehicle to collect the model from the loading bay.
Our team supervised:

- The lifting plan, ensuring the Hiab's capacity matched the crate's weight
- The attachment of lifting straps at structurally safe points
- The controlled hoisting of the crate onto the vehicle bed
- The final strapping and load‑securing process for road transport

This ensured the crate was stable, balanced, and fully compliant with transport safety standards.

6. Handover for Final Transport to BP

Once loaded, the model was transported to Dartford, Kent, where the client took over for the final stage of its journey back to BP.
Prime Lane provided full documentation, including:

- Handling notes
- Crate specifications
- Weight and dimension records
- Recommended unpacking procedures

This ensured a seamless continuation of the model's journey.

Enhanced Detail: Hiab Coordination & Loading Process

Specialist Vehicle Selection

Prime Lane arranged a Hiab with the appropriate lifting capacity and reach to operate safely within the loading bay's constraints. This included:

- Choosing a crane with sufficient boom length to lift the crate without overextending
- Ensuring the vehicle could position itself safely without obstructing museum operations
- Confirming ground stability and load‑bearing suitability for the crane's outriggers

This preparation ensured the lift could be carried out smoothly and without unnecessary risk.

Pre‑Lift Safety Checks

Before any lifting took place, our team conducted a full set of safety checks:

- Inspecting lifting straps, chains, and attachment points
- Verifying the crate's structural integrity and weight distribution
- Establishing a clear exclusion zone around the lift area
- Coordinating hand signals and communication between the Hiab operator and Prime Lane's team

These checks ensured everyone involved understood the lift plan and their roles within it.

Controlled Lifting Procedure

The lift itself was carried out slowly and deliberately to protect both the crate and the model inside. Prime Lane supervised:

- The positioning of lifting straps to avoid pressure points
- The initial tensioning of the crane to confirm balanced weight distribution
- A gradual vertical lift to prevent any sudden movement
- A controlled swing and placement onto the vehicle bed

This methodical approach reduced vibration, shock, and lateral movement — all essential for safeguarding a delicate museum object.

Load Securing for Transport

Once the crate was positioned on the Hiab vehicle, Prime Lane ensured it was secured to transport standards:

- Heavy‑duty ratchet straps were applied at multiple anchor points
- The crate was checked for any potential shift during braking or cornering
- Additional padding was placed where necessary to prevent strap abrasion
- A final inspection confirmed the load was stable and ready for the journey

Only once all checks were complete was the vehicle cleared to depart for Dartford, Kent.

Outcome

The successful completion of this project demonstrated Prime Lane's ability to manage complex, high‑stakes object movements with precision, care, and technical confidence. From the initial extraction to the final handover, every stage was executed smoothly and without incident — a testament to the team's planning, communication, and specialist handling skills.

The 3‑metre, 700kg model arrived in Dartford exactly as intended: fully protected, structurally secure, and ready for BP to complete the final leg of its journey. The custom ISPM‑15 crate performed exactly as engineered, preventing any internal movement and absorbing vibration throughout transport. The Hiab lift, often the most critical moment in a move of this scale, was carried out cleanly and safely, with the crate loaded, balanced, and secured to transport standards.

For Swansea Museum, the project provided reassurance that their object was handled with museum‑grade care from start to finish. For BP, the seamless handover in Dartford meant the onward journey could continue without delay or additional preparation. Both clients benefited from clear communication, detailed documentation, and a transparent workflow that kept them informed at every stage.

Beyond the technical success, the project reinforced Prime Lane's reputation as a trusted partner for specialist logistics involving large, heavy, or fragile cultural objects. It showcased the team's ability to work within challenging environments, adapt to unique object requirements, and coordinate multiple moving parts — from internal handling to custom packing to external lifting and transport.

This job stands as a strong example of Prime Lane's commitment to delivering safe, efficient, and expertly managed solutions for museums, institutions, and commercial partners across the UK.
